Role Description

This can be a remote position for the right candidate and you’ll spend all your time making sure the heart of our operations beats smoothly. Think of yourself as the calm at the center of the storm—ensuring communication flows, schedules align, and everything is in its right place.

In this role, you will be:

  • Founder’s Captain Reliable – Operations & Communications (third of your time):

    · Keep our digital and physical worlds tidy by managing file systems and maintaining an intuitive archive of important materials.

    · Own the team calendar—coordinating meetings (online, hybrid, or in-person), juggling time zones, and respecting each person’s unique workflow.

    · Spot inefficiencies before they become issues, and propose solutions that streamline our day-to-day.

    · Be the first point of contact—fielding phone calls, emails, and messages with clarity, kindness, and confidence (need basis).

  • Core Studio Operations - Culture & Collaboration Lead (rest of your time):

    · Collaborate closely with the Founder to manage internal and external communications, including reference checks, email correspondence, and timely follow-ups.

    · Research and gather inputs to craft clear, engaging job postings—from online sources and direct conversations with the Founder.

    · Screen incoming resumes with care, matching candidates against role requirements, and curate a shortlist of high-potential applicants for further review.

    · Schedule and communicate meeting details of Zoom/Google Meet, project updates and deadlines — ensuring clarity for each team member, contractor, or collaborator involved.

    · Build and maintain organized project boards on Notion to help track studio initiatives, events, and hiring processes.

    · Manage recruitment-related outreach across social media and job platforms, supporting hiring drives and growing our creative network.

    · Assist in developing onboarding materials and supporting documentation to help new collaborators step into the flow with ease.

    · Other duties as assigned by the Founder.

What You Bring to the Table:

  • A degree is great, but your drive and creativity are what matter most.

  • Tech-savvy with a knack for learning new tools—experience with Microsoft 365, Adobe, Canva, Notion, and others is a plus.

  • Super organized and clear communicator; you thrive in customer service and stay cool under pressure.

  • A natural at building relationships and handling sensitive information with care—emotional intelligence is key.

  • Detail-oriented with the ability to juggle multiple priorities and meet deadlines with ease.

  • Proactive problem-solver who loves making systems run smoother and can work independently.

  • A team player who collaborates respectfully with a diverse group, always supporting the bigger picture.

  • Self-driven and eager to anticipate needs, freeing up the team to focus on what matters.

  • Flexible with your schedule, ready to jump in when big milestones or events pop up (may be weekends/after reg work hours).
